The short version of how our rentals work. A full rental agreement is provided with every booking.
Before Your Rental
These are the terms that apply to every Photon rental. They're summarized here so there are no surprises; the full lease agreement, insurance requirements, and payment authorization are provided when you book.
All Equipment Must Be Insured
A certificate of insurance is required before any equipment is delivered — no exceptions. Photon Grip and Electric LLC must be named as additional insured under general and auto liability, and as loss payee for equipment.
Insurance Minimums
Commercial general liability: $2,000,000 general aggregate, $1,000,000 each occurrence, $1,000,000 products/completed operations, $1,000,000 personal and advertising injury. Automobile liability: $1,000,000 combined single limit covering owned, hired, and non-owned autos, plus comprehensive and collision on a blanket basis for any vehicles provided by Photon. Workers compensation as statutorily required. Property coverage at replacement cost on all rented equipment. Certificates must include a minimum 30-day notice of cancellation.
Responsibility for Equipment
You are liable for equipment and vehicles from the time they leave Photon until they are returned and accounted for. Missing, broken, or damaged equipment will be charged at current replacement cost. Equipment should be returned in the same condition it went out; additional labor charges apply to gear returned dirty, damaged, or unpacked. Burned-out bulbs must be returned — broken or missing bulbs will be charged.
Qualified Personnel
Equipment may be required to be operated by qualified personnel. Crew working on your production are employees of the production company, which is responsible for wages, fees, taxes, insurance, pension and welfare payments, and employee expenses. Photon does not provide staffing or payroll services.
Payment
Rental rates are quoted daily. All invoices are net 30 days unless prior arrangements are made. Finance charges of 1.5% per month (18% per annum) are assessed on balances beyond 30 days. A credit card authorization is required for rental; accounts unpaid after 30 days may be charged the balance owed.
Cancellation
Bookings cancelled less than four working days before the rental start are charged 50% of the estimated total. Bookings cancelled less than 72 hours before the start are charged 100%. Failure to cancel or appear for a confirmed booking may be assessed at 50–100% at Photon's discretion.
Acceptance
Acceptance of rented equipment constitutes acceptance of all terms and conditions. This summary does not replace the full rental agreement, which governs.
